Scan to SharePoint

IMIP Universal Scan Client (USC) with SharePoint connector allow user to easily scan batch of documents to SharePoint. It provides a very intuitive user interface with feature rich scanning functionality.

Intelligent scanning behavior

Depend on where in SharePoint the user wants to scan the documents to, USC behaves intelligently by representing the user with a smart interface for document separation and document indexing.

  • If user scan batch of documents to a document library, each document of the batch will be treated as one SharePoint document object. User will be able to index the documents and later, each will be released to SharePoint independently.
  • If user scan a batch of document to a SharePoint list, the whole batch will be treated as a list item while each document in the batch will be treated as an attachment of the list item

Indexing

User has the ability to enter values for document fields. The index panel displays the indexes as they are defined in SharePoint.

Scan Profile

For each SharePoint target (document library or list), user can specify specific scan profile attached to it. Later, when user scans for the SharePoint target, the Scan Client will use the specified profile and apply it for the scanning process.

IMIP Universal Scan Client (USC) with xBound Connector allow user to easily scan batch of documents to ReadSoft’s xBound platform. It provides a very intuitive user interface with feature rich scanning functionality.

USC allow scan using TWAIN compatible scanners (ISIS is supported as an optional feature). It also allows import files in PDF or other common image formats such as TIFF or JPEG.

USC allows user to scan batch of documents why the document profiles themselves are managed within xBound. Once connected to xBound, user selects the appropriate destination in xBound to scan their batches.

Centralized scan profile management

The scan profile are managed in xBound as the activity parameter set.

  • Document Naming: administrator can specify how document get named by create naming pattern combined from a list of possibilities (branch name, station name, scanner operator, date, time, document type, index field value, etc.)
  • Scan profile: For quality consistency, administrator can specify how documents get scanned (color format, resolution, paper size, etc.)
  • Automatic document separation: administrator can specify how document get separated on-fly while scanning (based on barcode or separator, based on blank page, based on fix number of page)
  • Validation: administrator can specify how document validation gets executed before document gets uploaded to the central. Index field can be marked as required and can be associated with validation expression.
  • Value list: EXF extends xBound’s field definition and allow administrator to associate pre-define list of values with index field. If a field is associated with a pre-define list, at the scan client/verifier, users are able to select value from the dropdown.

Branch Concept

USC xBound Connector introduces the virtual branch concept for distributed scanning. Administrator can create branches, which do map to their scan locations (for example: Berlin, Munich, London, etc.). Scan operators will be assigned with privileges so that they virtually belong to branches (for example: user group G is member of branch Berlin, while user B and C are members of branch Munich).

Scanned documents are tagged with the branch where they originally get scanned so they can later be routed for rescan, or to other activities for different purpose.

  • Asynchronous upload with intelligent retries to minimize data load. User can continue scan while the USC sending batches to xBound
  • Upload can also be scheduled (immediately, every x minutes or within a certain time period)
  • Fully integrated with xBound and Active Directory

Web Scan Client for xBound

IMIP’s xBound Extended Framework is a set of web-based modules to extend the use of ReadSoft’s xBound into large-scale, distributed environment. Those modules allow scanning, document review, document rescan and viewing reports within web browser.

Different industries have different request and different challenges for the scanning process. Industries like insurances or banks require flexible transactional scanning across geography because their large number of subsidiaries, branches or agent offices.

Scanning in a distributed environment challenges the traditional scan application in the aspect of the number of distributed locations, which could easily be up to hundreds or even thousands. With the traditional scan application, there is huge effort to deploy, to setup and to maintain the applications, to ensure the consistency in terms of scanned quality and structure/content, to gain visibility of scan process across all the distributed locations.

XEF Scan Client is completely based on Internet technology allow users to scan papers within the web browser. XEF Scan Client can also be used for re-scan and document review. With many other useful features based on industry best practice, XEF Scan Client is the perfect solution for scanning in distributed environment.

XEF Verifier

The same scan client activity can be used as the process step to approve documents. Within xBound designer, simply create one more process step of the same XEF scan activity and name it accordingly e.g. Document Verifier. Then define the routing condition to route the batch either back for rescan or to any other activity in your process.

Web Scan Client for xBound

User can reject the whole batch, or/and any document or/and any single page with an associated comment, which will be attached to the batch/document/page respectively.

Administrator can configure whether user at a verifier step can also do scanning/editing of the batch or only can approve/reject the batch.

XEF Reporting

Module XEF Reporting allows users to view their productivity reports within the web browser.

There is one standard report delivered with XEF Reporting showing the summary of what have been scanned within a specified period from the logged-in user’s branch.

Web Scan Client for xBound

XEF Reporting allows users to create their own reports and once the reports are registered with the system, user can view those reports via the same reporting module.

Privileges can be configured so that users can only view reports which they have rights to access.
